Opening a Business Account Online:
Documents That Help Avoid Delays

“A complete, consistent application gives an onboarding team a clearer picture of the business and reduces avoidable follow-up.”

Build one consistent company story

An online business-account application is easier to assess when the registry documents, website, contracts and application answers describe the same company. Prepare the current certificate of incorporation or registry extract, constitutional documents where applicable, registered address, operating address and tax information. If the structure has changed, explain what changed and provide the supporting record.

Zolvat’s guide on how to open a business account sets out the broader journey. The exact documents depend on the legal form, ownership chain, countries involved and intended activity, so the provider may request more information than a basic checklist suggests.

Identify the people behind the business

Prepare valid identification and address evidence for directors, authorised signatories and ultimate beneficial owners as requested. For a multi-layer structure, an ownership chart that names each legal entity and shows percentages can save considerable time. Make sure the chart agrees with registries and shareholder records.

Remote onboarding may include document checks, liveness or a video step. Complete these in good light, use the original valid document and follow the instructions shown in the application. Modular Fintech’s online onboarding module explains the technology that can support these journeys.

Explain activity and expected payments

A provider needs to understand what the company sells, who its customers and suppliers are, the countries it expects to pay or receive from, typical transaction sizes and why the requested currencies are needed. Use real contracts, invoices, licences or marketplace records where they exist. Forecasts should be reasonable for the company’s stage and business model.

  • Current company and constitutional documents.
  • Clear ownership chart and supporting shareholder evidence.
  • Identification for relevant owners, directors and signatories.
  • Website, contracts, invoices or other evidence of activity.
  • A concise explanation of funding sources and expected payment flows.

Quality matters more than volume

Do not upload a large collection of unrelated files and hope the answer is inside. Label documents, use readable scans and add a short explanation when the relevance is not obvious. Accurate disclosure and prompt, consistent responses are the best route through onboarding; no checklist can guarantee acceptance or a particular completion time.
